Zivver Office Plugin - User manual

Preface

With Zivver you can securely share privacy-sensitive information with colleagues, customers, patients, and other recipients. When you send a message securely, only you and the recipient(s) can read it.

You can send secure emails from your web browser, tablet, mobile phone, or directly from Outlook. This user manual focuses on the Zivver Office Plugin for Microsoft Outlook. In this manual, you will learn:

Securing an account with an additional login method

You will receive a login code by text message or through an authenticator app. At this time, you can only set an additional login method in the Zivver Web App.

Send secure emails from Outlook

Sending secure emails is easy directly from Outlook, using the Zivver Office Plugin.

Preparation
You must be logged in to Zivver via Outlook.

  1. In Outlook, click New email.
  2. Compose your message as usual: add recipients, enter a subject, and write your message.
  3. Click the toggle next to the Zivver logo to enable secure emailing.
  4. Click Add attachments attach_file in the secure email bar to add an attachment (up to 5 TB).
  5. Click Send.
  6. If you send a Zivver message to a recipient’s email address for the first time, you will be asked to enter the verification method. Set two-factor authentication and then send the message. Verification ensures that only the right recipients can access your message. Learn more about the different verification levels.
  7. Wait a moment for the message to be sent.

Safety notifications

Zivver uses safety notifications to inform you when a certain rule is triggered. The active rules depend on the settings of your organization. If your message or its attachments contain sensitive information, the secure email bar may automatically activate and change color.

Revoke a Zivver message

Did you accidentally send a message to the wrong recipient? Did you attach the wrong file? You can revoke a Zivver message. The message and its attachments immediately become inaccessible to all recipients.

Read receipts

You can view a read receipt for every message you send. This way, you know who has read your message and who has not.

The read receipt appears as a small envelope icon in the lower right corner of your sent Zivver message. Hover over the envelope icon to see which recipients have read the message.

The number in front of the envelope indicates how many recipients have read the message. Click the envelope or hover over it to view details.
