Securely mailing external recipients

This document explains how to safely send a message to someone outside your organization. A verification method is required because the external recipient likely does not have a Zivver account. Recipient control adds an extra layer of security to the Zivver message, in the form of an SMS code or access code. You only need to complete the verification method once per email address. Zivver remembers and reinstates verified recipients.

Securely mailing external recipients

The procedure below assumes that you have created a new email draft in Outlook and have added one or more recipients.

  1. Open a new email in Outlook.
  2. Click the toggle in the gray Zivver toolbar to enable secure mailing.

The toolbar turns green to indicate that secure mailing is enabled: .
3. Click the Recipient verification icon.

A window opens with recipient verification methods.
4. Click the menu next to a recipient. 5. Choose recipient verification methods as needed:

  1. Optional: Choose a notification language:
    1. Click the recipient’s email address.

A message card titled Contact information appears. 2. Choose a language from the drop-down menu next to Notification language. 3. Click Save to save your choice. 7. Click OK.

You can now safely send the email, including to recipients outside your organization.
