# Zivver Chrome Extension for Gmail - User Manual

## Introduction

How to install and use the Zivver Chrome Extension for Gmail?

The Zivver extension enables you to securely send emails from Google Gmail in Chrome.

With Zivver, you can easily and securely share privacy-sensitive information with colleagues, customers, patients, and other recipients. If you send a message securely, only you and the recipient(s) can read the message.

### Reading guide

You can use this manual as a reference. You don’t need to read it from start to finish to email securely. Each chapter stands on its own. In each section, we provide steps to get started with the Zivver Chrome Extension for Gmail.

## Install

To email securely from your Gmail account, you need the Zivver Chrome Extension for Gmail and a Zivver account.

Note

Your account must be part of a Google Workspace organization. The Zivver Chrome Extension does not work with a personal Google account.

Note

If your organization already uses Zivver, you probably already have a Zivver account. Otherwise, refer to [How to create a Zivver account](https://docs.zivver.com/en/guest/signup-for-zivver.html).

### Install from Google Chrome Web Store

1. Navigate to the Zivver [Chrome Extension for Gmail](https://chrome.google.com/webstore/detail/zivver-v2/kckcdkheokdjcdgdfmpkgppflhdbmmhl) Chrome Web Store page.
2. Click Add to Chrome.

_A permissions window pops up._
3. Click Add extension.

_The extension is installed. A window appears explaining how to start the extension. You may also be offered the option to install the extension on other Chrome devices connected to your account._
4. Log in to Zivver to start the extension.

_Depending on your organization’s settings, you will either be redirected to your organization’s SSO service to enter your workplace credentials, or you will need to enter your Zivver password._

### Install from a CRX file

You might receive an evaluation version of the Zivver Chrome Extension for Gmail, delivered as a link to a `.crx` file.

1. Download the `.crx` file to a location on your computer.
2. Open Gmail in Chrome and navigate to **Window** in the top menu bar.
3. Select **Extensions**.

_You are now redirected to `chrome://extensions`._
4. Switch on **developer mode** _toggle
toggle_on_ in the top right corner.
5. Click Load unpacked.

6. Select the **Zivver Chrome Extension** file.

### Install from a ZIP archive

If you receive a testing version of the Zivver Chrome Extension for Gmail, it might come as a `.zip` file instead of a `.crx` file.

1. Download the `.zip` file.
2. Unzip the `.zip` file.
3. In Chrome, navigate to `chrome://extensions`.
4. Switch on **developer mode** _toggle
toggle_on_ in the top right corner.
5. Click Load unpacked.

_A file browser window opens._
6. Select the directory into which you unpacked the `.zip` file, then click **Open**.

_The extension now appears on the `chrome://extensions` page as `Zivver`. You have successfully installed the extension._

## Log in with workplace information

Depending on the settings chosen by your organization’s Zivver administrator, you may be automatically redirected to your organization’s login page. Enter your workplace credentials on this page to log in.

## Log in with email address and Zivver password

Is your email address not yet activated for Zivver? Click the **Activate your e-mail address** link and enter your Zivver password to log in.

To stay logged in, select **Remember my credentials for 30 days**. You will remain logged in on this device for 30 days.

If you already set up an additional login method, complete it on the next screen.

You are now logged in to Zivver in Gmail and ready to read and send secure messages. If you do not see the Zivver bar when composing a new message, refresh the page. Contact your organization’s Zivver administrator if you encounter login problems.

## Send a message securely

Make sure you are logged in to Zivver via Gmail:

1. Click _create_ Compose in Gmail.

2. Compose your message as usual: add recipients, enter a subject, and write your message.
3. _Optional_: Click _attach_file_ **Add attachments** in the lower compose bar to add an attachment (up to 5 TB).
4. Toggle **Secure send** to **ON**.

_If you are sending a Zivver message to a recipient for the first time, you will be asked to set a verification method._

### Security notifications

Your organization has rules in place to ensure that sensitive information is always sent with Zivver. Zivver uses security notifications to inform you when a rule has been triggered.

### Read receipts

You can view a read receipt for each sent message. This way you know who has read your message and who has not. You will find this confirmation as a small envelope icon in the lower left corner of a sent Zivver message. Click the icon to see if the message was opened.

### Message revocation

Zivver messages can be revoked at any time after sending, either for all participants (including the sender) or just for recipients. Message revocation can be scheduled for a set period or occur immediately. Revocation serves two purposes:

- To withdraw a message sent in error.
- To comply with legal or organizational policies requiring that messages not be retained indefinitely.

You can revoke sent messages or set them to expire before or after sending.

#### Set revocation for new messages

1. Click the revoke  icon at the bottom of your message editor.

_A new window titled **Revoke** appears._
2. Click **Revoke for recipients** if you want recipients to lose access to the message.

_OR_

Click **Revoke for everyone** if you want both recipients and yourself to lose access to the message.

Warning

If you choose **Revoke for everyone**, the message becomes inaccessible after the set period. You cannot recover those messages.

3. Click **Revoke in** to revoke the message later

_OR_

Click **Revoke now** to revoke it immediately.

_This option is not available for messages you are still composing._
4. Set a time period using the input box and drop-down selector. Your organization may have set a default period.

_The scheduled revocation date displayed changes according to your selection._
5. Click Revoke.

_If you selected **Revoke in**, a light blue banner appears above the message header showing the revocation period._

_If you selected **Revoke now**, a banner appears stating that access was revoked, and the message background turns gray._

Note

Revoking a message removes it from the Zivver inboxes of all recipients, including those in **CC** and **BCC**.

#### Change revocation settings for sent messages

1. Go to your _send_ **Sent** messages folder in Gmail.
2. Open the message you want to revoke or update. Zivver messages contain the string `[This message is encrypted with Zivver]` in the subject line.
3. Click Edit settings in the top right corner of the message pane.
4. Make changes as needed.
5. Click Revoke.
6. _Optional_: To remove the scheduled revocation, click Reset expiration date.

## Recipient verification

Zivver verifies recipients’ identities by checking whether they possess a preshared secret—usually an access code provided by another means than email. For details, refer to [Verification Methods](https://docs.zivver.com/en/guest/verification-methods.html).

Click your account in the extension menu to change Zivver settings. See the [Zivver WebApp user manual](https://docs.zivver.com/en/user/webapp/user-manual.html) for more information.

## Business rules

The Zivver Chrome Extension for Gmail monitors the Gmail editor window and may produce [warnings](https://docs.zivver.com/en/admin/webapp/references/business-rules-warning-levels.html) when you add sensitive information or trigger another [business rule](https://docs.zivver.com/en/user/officeplugin/references/business-rules.html). Violations may prevent the client from sending messages through Zivver. Depending on the rule’s warning level, the Send button may be disabled.

To address this:

1. Click  in the top right corner of the editor.

_A window titled **Potential Issues** appears, listing issues and possible actions._
2. Click Ignore to ignore a particular issue.
3. Click Close to close the notification window and return to the editor.
4. Change or remove any elements that triggered the warnings.
